Keeping It Secure: Why Online Security Matters in the Virtual Assistant World

When clients trust a virtual assistant with their inboxes, calendars, and even passwords, they’re not just outsourcing admin, they’re handing over a slice of their business. As a VA, it’s my responsibility to treat that trust with the highest level of care.

Why Security Isn’t Optional

Working remotely means being digitally connected at all times. That connectivity can come with risks: phishing emails, password leaks, and unauthorised access. That’s why secure systems and good habits aren’t just nice-to-haves—they’re essential.
I use best practices like:
  • Two-factor authentication on all critical accounts
  • Strong, unique passwords (no more “Admin123!”)
  • Encrypted file sharing and cloud storage
  • Regular software updates to stay ahead of known vulnerabilities
Let’s Talk Passwords: Why I Use LastPass
Password management can be a bit of a headache, especially when you’re juggling multiple clients and platforms. I use LastPass, a trusted password manager, to simplify and secure the process.
With LastPass:
  • I store all credentials safely in an encrypted vault
  • I generate strong passwords with one click
  • I share access with clients without ever seeing or writing down their actual password
This means clients can grant me access to, say, their social media scheduler or project management tool—without ever revealing sensitive login details. It’s secure, simple, and shows professionalism from the start.
Tips for Clients: Security Is a Partnership
Clients often ask how they can keep their own accounts secure when working with a VA. Here’s what I recommend:
  • Use a password manager like LastPass or 1Password.  I also like Apple’s password manager.
  • Enable two-factor authentication on important accounts
  • Don’t send passwords via email or chat apps
  • Ask your VA what security tools they use
